How we handle associate expressions of interest.

Registration is not open yet. This notice describes the planned process. A monitored privacy contact and the hosting arrangements must be confirmed before we receive applications.

Who is responsible

What we collect and why

We collect your name, email address, selected expertise and CV, together with any telephone number or personal statement you choose to provide. We use this information to assess your suitability for potential associate engagements and contact you about relevant opportunities.

We also record the submission date, privacy-notice version and a registration reference. Short-lived, pseudonymous request identifiers help prevent abusive or repeated submissions.

Our lawful basis

We rely on legitimate interests: identifying suitable specialists for anticipated client work and managing a voluntary associate pool. We consider whether the information is necessary and balance this purpose against your interests and rights. Registration does not commit you to an engagement.

You can object to your inclusion in the pool and ask us to remove your profile at any time. We do not use this registration to subscribe you to marketing.

What to leave out

At registration, please omit your home address, date of birth, identity documents, DBS certificates, health information, referee contact details and confidential client material. We do not ask for sensitive personal information at this stage. If unnecessary information is received, we will remove it or request a replacement CV as appropriate.

Checks before an engagement

If we progress towards an engagement, selection includes proportionate checks of identity, address, relevant qualifications, professional experience and references. We may use specialist verification and screening providers. An Enhanced Disclosure and Barring Service (DBS) check is requested only where the role is legally eligible and the check is appropriate. These checks are separate from joining the associate pool.

Before collecting or sharing additional information for checks, we will explain their purpose, the information required, any provider involved, the lawful basis and how long the information will be kept. Criminal-record information is handled only where the applicable legal authorisation and data-protection conditions are in place. We will provide instructions for supplying any required documents securely; please do not include them with your registration.

Who can access your information

Access to registrations is restricted to Mnemones’ authorised owner. OpenAI Sites and Cloudflare provide the website and its hosting, database and file-storage services. Uploaded CVs are stored privately and are not published on the website.

If a prospective engagement requires your profile to be shared with a client, we will discuss that with you first. Information shared with any verification provider is limited to what is necessary for the explained checks. We may also disclose information where required by law.

Hosting and international processing

The applicable hosting locations, processor terms and safeguards for any processing outside the UK are being confirmed. Registration remains closed until this information is completed.

How long we keep your information

Your profile is available for consideration for up to 12 months from registration. It expires after that period and is removed during retention maintenance. We also remove it earlier if it is no longer needed or you ask to leave the pool. Continuing a potential engagement beyond that period requires a separate, explained purpose and retention arrangement.

Unfinished uploads are removed during maintenance after one hour. Abuse-prevention records expire within 48 hours. Deleted information may remain in restricted provider backups until those backups expire under the applicable hosting arrangements; it is not used for further recruitment.

Your choices and rights

Providing your information is voluntary. The form identifies the details needed to consider your registration; telephone number and personal statement are optional. We do not use automated scoring or automated decisions to select associates.

You can request access to your information, correct it, ask for erasure or restriction, and object to processing based on legitimate interests. The rights available depend on the circumstances. Use the private removal link supplied with your receipt to remove your registration and CV, or contact us using the privacy details above.
