Who is responsible

What we collect and why

We collect your name, email address and message, plus an organisation name if you choose to provide it. If you arrive from a service or sector page, the selected topic is shown in the form and can be cleared before submission. We use these details to understand your enquiry, assess how we can help and respond to you.

We also record a reference, submission date and privacy-notice version. Short-lived, pseudonymous identifiers help limit abusive or repeated submissions. Please do not include sensitive personal information, confidential documents, or learner or customer records.

Our lawful basis

We rely on legitimate interests to respond to enquiries about our services and manage related business correspondence. We limit the information to what is needed for that purpose and balance this against your interests and rights. Sending an enquiry does not subscribe you to marketing.

Access and storage

Enquiries are stored in a private inbox accessible to Mnemones’ authorised owner. OpenAI Sites and Cloudflare provide the website, hosting and database services. Confirmation appears on screen; this form does not send automatic emails. Information is not published on the website or shared with prospective clients for marketing. We may disclose information where required by law.

The applicable hosting locations, processor terms, safeguards for international processing and backup arrangements are being confirmed. Submissions remain closed until these details are completed.

How long we keep your information

Enquiries remain available for up to six months after receipt and are removed during retention maintenance, or earlier when no longer needed. Expired enquiries cannot be viewed in the inbox. If an enquiry leads to an engagement, we explain the separate arrangements for client records. Abuse-prevention records expire within 48 hours.

Deleted information may remain in restricted provider backups until those backups expire under the applicable hosting arrangements. It is not used for further correspondence.

Your choices and rights

Providing your information is voluntary; the organisation field is optional. You can request access, correction, erasure or restriction and object to processing based on legitimate interests. The rights available depend on the circumstances. Contact us using the privacy address above and, if available, quote your enquiry reference. We do not use automated decisions to decide how to respond to enquiries.
